10. Leave an informative voice mail greeting

You can't always be present to take all the calls you receive. When you are away from your desk or station, a caller should receive an inviting greeting from the "virtual you." Beyond presenting vital information, a voice mail message should sound welcoming and cheerful.

Information to include in your standard voice mail greeting:

  • Your name and title
  • An apology for missing the call: "Sorry I'm not here to take your call."
  • The best times to reach you directly
  • Alternate methods of reaching you, such as a cell phone number, in case of emergency
  • Instructions on how to leave a message, if not included by the voice mail system
